Server Installation and Configuration

Install and configure a Linux server with Debian/Ubuntu distribution. Install the necessary facilities for the proper functioning of the application:

  • postgresql

  • mysql

  • apache+php

  • ftp+ssh

  • java+tomcat

The necessary hardware is not included.

We recommend a server with fast hard disks and a lot of RAM.

We do not include any backup system of the server nor application although the BI data warehouse itself is a backup of the information in the production vtiger CRM application.

Open3 BI has advanced backup solutions if necessary. Ask us.

Maintenance of the base linux server is not included.

 

Application Installation and Configuration

Install pentaho BI with programs developed by Open3 BI and configure the parameters of the application to adapt to the server configuration for maximum performance.

We will integrate it with your vtiger CRM production system by means of modifying the menu of reports to access the BI application and integrate custom reports into the reporting section. We will also install and configure a backup and ETL system to regularly pass information to the BI server data warehouse.

Configure scheduled tasks necessary to move information from the vtiger CRM database to operational analysis.

 

Application License

It includes the right to use the application and the productive benefit of it's use and also modify it in any way necessary for the best use of the company. You may not sell, give away, nor install or copy in any form the given code in any company other than the owner of the license.

This code, generated by Open3 BI, is open source in the sense that the owner of the license may modify the code in any way to adapt it to his needs, but he cannot resell nor distribute the software in any way.

 

Requirements Analysis

A study of the information needed by the customer will be created. We will get both what you need to add as what can be eliminated and how to treat existing and new information. We will also get the source of the information and a list of initial reports and graphs that are needed. During this analysis we will detect other sources of information that are not originated inside vtiger CRM but that should be contemplated in the data warehouse for consistent data studies. These sources will be included in the data warehouse.

Detect what parts of vtiger CRM are being used and what is needed and expected from the integration with Pentaho

  • Obtain a list of all the custom fields and how they are to be treated in the ETL process

  • Define the ETL treatment of the existing fields already in the base integration to detect differences between base decisions and actual business logic

  • Obtain an initial list of reports, graphs and process management needed

 

Adapt existing integration project based on detected requirements

In this step, which is iterative with the previous step, we will modify the basic project to adapt to the requirements identified. In general we will:

  • Add additional ETL process

  • Modify the data warehouse to save the custom fields and new data

  • Modify ETL process to save custom fields and changes in existing field treatments

  • Modify meta-data definitions

  • Modify OLAP cube definitions

 

Initial set of reports and dashboards. Training.

The initial set of reports will be created with the users and responsible parties of the project in the company so they can learn how to use the application to obtain the highest benefit.

The training will be online and will be done in 3 to 5 sessions based on the needs detected. The goal is that the users will gain sufficient knowledge to start the learning process that will convert them into productive users of the system.

Advanced and/or on-site training can be negotiated if necessary.

 

Support

We recommend establishing a working relationship to support the application for the purpose of meeting needs, such as:

  • support to users as they learn to use the application

  • resolution of technical questions

  • solving problems and incidents

  • limited support in the analysis and creation of information

  • maintenance support, software errors, updates and patches

  • advice on backup and recovery

  • advice on compatibility and performance

  • immediate access to the expertise of our team via email support or a private IM channel

  • maintaining accurate documentation of your customizations changes as they arise

  • develop new features or improvements in your business processes

  • storage of knowledge of the application and processes that protect the company employee movements. We can train new staff as we guard the knowledge of the workings of the application.

  • free hosting of a copy of your code in a subversion repository for easy updating and maintenance

 

Temporal Breakdown

The ideal goal for a working system would be a maximum of 3 months. However, many times we are severely limited by the available time and commitment of the client to the project and our own internal limitations. The implementation of a business intelligence system requires that we learn how the company works, so we need to have one (or more) people in the company that can explain the business logic and give us the information we need. That is why this time can easily vary depending on many factors. Besides the whole project must be contemplated as an ongoing effort as it will need to be adapted constantly to the ever changing business scenario.
